Perfect Copier: A Quoting Tool That Actually Gets Used

Copier dealers were spending hours building proposals in Excel. We built a tool that does it in minutes.

The problem

If you've ever worked in the copier industry, you know the quoting process is painful. A sales rep visits a customer, figures out what they need, then goes back to the office to build a proposal. They open a spreadsheet, look up dealer costs, apply markup, figure out the lease rate for the right term and buyout type, add accessories, calculate managed print costs, and hope they didn't fat-finger a number somewhere.

The whole thing takes an hour or more. Sometimes the rep makes a mistake and has to redo it. Sometimes the customer wants to see a different configuration, and the rep starts over. By the time the quote gets to the customer, the deal has cooled off.

What we built

Perfect Copier is a web-based quoting tool built specifically for copier dealers. A rep picks a Xerox model, selects accessories from the catalog, sets their markup, and the tool handles the rest -- lease rate lookups, managed print calculations, one-time costs, the works.

The output is a clean, branded PDF proposal that can be shared with the customer immediately. No spreadsheets, no back-and-forth, no math errors.

How it works

  • 1 Pick the equipment. The full Xerox catalog is built in -- product families, model lines, accessories, consumables. The rep selects what the customer needs from a searchable list.
  • 2 Set the price. Each line item shows dealer cost with a default 1.3x markup. Reps can adjust markup or set a specific sell price -- the other value recalculates automatically.
  • 3 Choose the deal type. Lease, cash purchase, or both. For leases, the tool looks up the correct rate factor based on the total financed amount, lease term, and buyout type (FMV or $1).
  • 4 Add managed print. Monthly print costs, service rates, and overage charges are calculated separately and rolled into the total monthly cost so the customer sees one number.
  • 5 Send the proposal. One click generates a PDF. The rep can also send a share link so the customer can view the quote in their browser without downloading anything.

Why it matters

Speed kills in copier sales. The dealer who gets a clean quote to the customer first usually wins the deal. Perfect Copier cuts quoting time from over an hour to under five minutes, and eliminates the calculation errors that make dealers look unprofessional.

It also gives managers visibility into what their reps are quoting -- pricing trends, margins, deal volume -- without having to chase down spreadsheets.

The technical side

We built Perfect Copier with Laravel, Tailwind CSS, and Alpine.js. The catalog data comes from Xerox dealer price sheets, parsed and loaded into a structured database. Lease rate factors are stored as a lookup table by tier, term, and volume bracket. PDF generation uses DomPDF with a custom template.

The whole thing runs on a single VPS. No complex infrastructure, no monthly platform fees eating into the dealer's margins. It's fast, it's reliable, and it does exactly what it needs to do.
